How to Import VR Arcade Equipment from China: Customs, Shipping and Duties

Importing VR arcade equipment from China takes roughly 6-10 weeks door to door and costs 20-40% above the equipment price once freight, destination tax, clearance and inland delivery are included (industry logistics guides, 2026). Arcade machines under HS 9504.30 enter the EU, US and UK at 0% MFN duty (EU TARIC; USITC; HMRC), so destination tax and logistics — not tariff — drive the landed cost.

The realistic timeline is longer than suppliers suggest

Plan three months from order to installation, not three weeks. Production typically takes about 20 days before the equipment even reaches a port.

Ocean transit then runs roughly 14-35 days depending on route, with export clearance and port handling adding several more days at each end (industry logistics guides, 2026). LCL consignments add consolidation and deconsolidation time on top, and peak season between August and November can add a further week.

Air freight compresses transit to about 3-10 days, but most VR arcade machines are too heavy and bulky for air to be economical. It is normally reserved for spare parts and small high-value components.

Choosing a shipping method and an Incoterms rule

Two decisions set your cost structure before the equipment is even built: how it travels, and who is responsible for it at each stage.

Incoterms 2020 defines where cost and risk transfer. Under these rules DDP is the only term where the seller handles import clearance — which is convenient but reduces your visibility of the actual cost. FOB and CIF are the common choices for buyers who want to control their own freight and see the real numbers.

Option	Typical transit	Relative cost	Best suited to
Sea freight FCL (full container)	14-35 days	Lowest per unit	Full venue setups, large orders
Sea freight LCL (shared container)	18-45 days	Low to medium	1-15 CBM, smaller orders
Rail (China-Europe)	18-22 days	Medium	Europe-bound cargo
Air freight	3-10 days	10-15x sea freight	Spare parts, urgent high-value items

Term	Seller handles	Buyer handles
EXW	Goods available at factory	Export clearance, freight, import clearance, duty
FOB	Delivery to origin port, loaded	Ocean freight, insurance, import clearance, duty
CIF	Freight and insurance to destination port	Import clearance, duty, inland transport
DAP	Delivery to named place (duty unpaid)	Import clearance and duty
DDP	Everything to final destination, duty paid	Taking delivery

Duty is usually not the cost you expect

Arcade machines are typically classified under HS 9504.30, and that subheading enters the EU, the US and the UK at 0% MFN duty (EU TARIC; USITC; HMRC).

The cost that matters is destination tax, which is charged on the value of the goods plus freight, insurance and any duty. VAT in the EU ranges from roughly 17% to 27% depending on the member state, and stands at 20% in the UK (EU TARIC; HMRC). Businesses can usually reclaim VAT, but it still has to be funded at the border.

US-bound shipments need separate attention: Chinese-origin goods may carry additional surcharges on top of the MFN rate, and those rates change with policy. Confirm the applicable rate on the day of entry rather than relying on an old quote.

What pushes landed cost past the equipment price

Budget 20-40% above the equipment price for the import leg, and treat that as a reference range rather than a precise forecast (industry logistics guides, 2026).

The line items accumulate quietly: customs broker fees of $150-$ 400 per entry, port and handling charges of $100-$ 300, inland delivery of $200-$ 1,000 depending on distance and weight, and $200-$ 600 if customs inspects the shipment. Delays are the expensive part — demurrage and detention run $100-$ 300 per day.

Two practical protections are worth more than any negotiation on unit price. First, request an all-in freight quote rather than a base rate, because LCL pricing routinely quotes ocean freight only and adds surcharges afterwards. Second, never agree to an undervalued invoice: customs authorities hold comparable-value data, and as the consignee you carry the liability, not the supplier.

Documents and supplier checks before you ship

Four documents carry the shipment: the commercial invoice, the packing list, the bill of lading and the certificate of origin. Their details must match exactly across all four — mismatches are the most common cause of clearance delay.

Buyers should also confirm the HS classification with their own customs broker rather than accepting the supplier's code, since one digit can change the duty treatment. A manufacturer with real export volume will already have this paperwork organised; MoviePower has delivered over 5,000 projects to operators in 100+ countries, and its manufacturing and export capabilities are documented for review. For a sense of what ships, its commercial VR equipment range sets out the product lines, and the kazakhstan theme park project is a reference for a delivered large-scale installation.

Frequently Asked Questions

How long does it take to import VR arcade equipment from China?

Plan roughly 6-10 weeks door to door, and three months if you are building a schedule. Production takes about 20 days, ocean transit runs 14-35 days depending on route, and export clearance, port handling and inland delivery add several days at each end (industry logistics guides, 2026). LCL shipments and peak season add further time.

How much does it cost to import VR arcade equipment?

Budget 20-40% above the equipment price for the import leg as a reference range. That covers freight, insurance, destination tax, customs broker fees of $150-$ 400 per entry, port charges of $100-$ 300, and inland delivery of $200-$ 1,000. Destination VAT is often the largest single item and is charged on goods value plus freight, insurance and duty (industry logistics guides, 2026).

What duty applies to imported VR arcade machines?

Arcade machines are typically classified under HS 9504.30, which enters the EU, the US and the UK at 0% MFN duty (EU TARIC; USITC; HMRC). The significant cost is destination tax rather than tariff: EU VAT ranges from roughly 17% to 27% by member state and UK VAT is 20%. US-bound Chinese-origin goods may carry additional surcharges that change with policy.

Which Incoterm should I use when buying VR equipment from China?

FOB and CIF are the common choices for buyers who want cost control and visibility. Under Incoterms 2020, FOB means you arrange ocean freight and import clearance, while CIF means the seller covers freight and insurance to the destination port. DDP is the only term where the seller handles import clearance, which is simpler but reduces transparency.

What documents do I need to clear VR equipment through customs?

A commercial invoice, a packing list, a bill of lading or air waybill, and a certificate of origin. All four must match exactly — inconsistent details are the most common cause of delays. Confirm your HS classification with your own customs broker rather than accepting the supplier's code, because one incorrect digit can change the duty treatment.
